Delete your Wash42 data
How to request deletion of a Wash42 account and the data associated with it — what we erase, what we are required to keep, and how long it takes.
Request deletion
1. Scope
This policy covers the Wash42 mobile applications for iOS and Android and the Wash42 web experience, published by Wash42 Ventures, LLC. It applies to every Wash42 account holder — owner-operators, RV and motorhome owners, private vehicle owners, and drivers using a fleet account provided by an employer.
It explains two separate things you can ask us for:
- Account deletion. We close your Wash42 account and delete the personal data associated with it, subject to the retention rules in section 6.
- Partial data deletion. We delete a specific category of data — for example your saved location history or a vehicle profile — while your account stays open.
Both requests are free. We will not require you to reinstall the app, buy anything, or speak to a salesperson to make one.
2. How to request deletion
Use any of the three routes below. All reach the same team and follow the same timeline in section 4.
| Route | Where | What happens |
|---|---|---|
| In the app Fastest |
Profile → Settings → Delete account | Because you are already signed in, no separate identity check is needed. The app shows you what will be deleted, offers the immediate-deletion option, and confirms in writing. |
| Web request form No app needed |
https://wash42.com/delete-data.php | Submit the form with the email or mobile number on your Wash42 account. You will receive a confirmation email with a reference number. |
| Email Alternate |
privacy@wash42.com | Put “Wash42 deletion request” in the subject line and send it from the email address on the account where possible. |
You never need the app to delete your data. If you have already uninstalled Wash42, or you cannot sign in, use the web form or email — we will not ask you to reinstall.
What to include
- The email address and/or mobile number registered to the account.
- Whether you want the whole account deleted or only specific data — and if specific, which categories (see section 5).
- For fleet drivers: your fleet or company name, if you know it.
Verifying it is you
Before we delete anything we confirm that the request came from the account holder. We do this by sending a confirmation link to the email address or a code to the mobile number already on the account. We will never ask you for a password, a government ID number, or full payment card details in order to process a deletion request. If we cannot verify ownership, we will tell you why and what we can accept instead.
3. Fleet and employer-provided accounts
Read this if your employer set up your account
If your Wash42 account was created for you under a fleet, company, or other organizational agreement, that organization — not Wash42 — controls the account and its wash records. Deletion has to be initiated by an authorized administrator at that organization.
Wash42 cannot delete a fleet-controlled account on an individual driver's request, because doing so would remove records the fleet is entitled to and may be legally required to keep. If you contact us directly, we will confirm that your account is fleet-managed and point you to your fleet administrator; we will not share the content of your request with your employer beyond what is needed to route it.
Fleet administrators: send deletion requests for a driver, a vehicle, or an entire fleet account to privacy@wash42.com from an email address on the fleet agreement. We verify administrator authority against that agreement before acting. Fleet-initiated deletions follow the same 30-day recovery window described in section 4, with the day-23 reminder going to the requesting administrator rather than the driver.
Any data you created outside the fleet relationship — for example a personal Wash42 account you opened yourself for your own RV or pickup — remains yours to delete under section 2.
4. The 30-day recovery window
A deletion request does not erase anything on the first day. When we verify your request, we deactivate the account immediately and then hold the data for 30 days before erasing it. Drivers lose phones, change numbers, and hit the wrong button at a wash bay — the window exists so a mistake is fixable.
During the window your account is unusable: you cannot sign in, book a wash, or pay through the app, and it stops appearing to wash-site staff. Nobody else can register with your email or phone number while the window is open.
Timeline
| When | What happens |
|---|---|
| Day 0 | You submit the request in the app, on the web form, or by email. |
| Day 0–2 | We acknowledge the request and send the verification link or code. |
| On verify | Account deactivated. Sign-in, bookings, and payments stop. The 30-day recovery window opens. |
| Day 23 | We email a final reminder to the address on the account, so the deletion is never a surprise. |
| Day 30 | Recovery window closes. Permanent erasure begins and cannot be reversed from this point. |
| Day 45 | Erasure completed across our production systems and our third-party processors, except for the records listed in section 6. |
| Day 105 | Encrypted backups containing the data have rotated out of retention. Backups are never restored to reinstate a deleted account. |
Changing your mind
Any time before day 30, sign in with your usual email or phone number and choose Keep my account when prompted, or reply to the confirmation email. Everything comes back as it was — wash history, vehicles, loyalty balance, saved payment method. After day 30 nothing can be recovered, including by us.
Skipping the wait
You do not have to wait 30 days. Check Delete immediately on the request form, or write “delete immediately” in your email, and we skip the recovery window entirely: erasure begins on verification and completes within 30 days of your request. Choose this if you are exercising a statutory deletion right under the GDPR, the CCPA/CPRA, or a comparable state law and want the shortest possible timeline.
If a request will take longer than the dates above — for example because we cannot verify ownership or because a legal hold applies — we will email you before the deadline with the reason and a revised date.
5. What we delete
On a verified account deletion, we delete the following, in the app and in our backend systems:
| Data | Examples | On deletion |
|---|---|---|
| Account & profile | Name, email address, phone number, password credentials, notification settings | Erased |
| Vehicle profiles | Truck, tractor-trailer, RV or motorhome details; unit numbers; plate, DOT and fleet identifiers; wash preferences | Erased |
| Location data | Precise and approximate location used to find nearby wash sites, saved and recent locations, route history | Erased |
| Wash & booking history | Sites visited, services purchased, appointment and queue history, loyalty balances | De-identified |
| Payment information | Stored card tokens and wallet references held by our payment processor | Erased |
| Device & usage analytics | Device model and OS, app version, crash reports, in-app event and diagnostic data, advertising identifiers | Erased |
| Support communications | Emails, in-app messages, and photos you sent us about a wash or a problem | Erased |
| Marketing lists | Email and SMS subscriptions, campaign engagement records | Erased |
Erased means the record is permanently removed from our production systems and instructed for deletion at the processors that hold it on our behalf. De-identified means the transaction record survives for the accounting purposes in section 6, but is severed from you: your account identifier, name, contact details, vehicle identifiers, and location are stripped, leaving a record that cannot reasonably be re-associated with you.
Deleting your account also revokes Wash42's access to any third-party account you connected to it, such as a fuel card or fleet telematics integration. It does not, by itself, change anything in the Microsoft, Google, or Apple account you may have used to sign in — see Privacy Policy section 3 for how to revoke that access at the provider.
6. What we keep, and why
A small set of records outlives a deletion request because we are required to keep them or need them to protect other customers. Nothing in this table is used for marketing, profiling, or to rebuild your account.
| Record | Reason | Kept for |
|---|---|---|
| De-identified transaction and tax records | Sales tax, accounting, and audit obligations | 7 years |
| Fraud, chargeback and abuse logs | Preventing payment fraud and repeat abuse of wash sites | 12 months |
| Security and access logs | Investigating security incidents | 12 months |
| Record of the deletion request itself | Demonstrating that we honored your request | 3 years |
| Data under legal hold | Active dispute, claim, subpoena, or regulatory inquiry | Duration of hold |
| Fleet-owned wash records | Held by the fleet as the controlling organization (section 3) | Per fleet agreement |
When a retention period ends, the record is deleted on our normal purge cycle.
7. What deletion costs you
Once the recovery window in section 4 closes, deletion is permanent and cannot be undone. Before you submit a request, know that:
- Your wash history, receipts, and any loyalty credits or prepaid wash balances are lost. Download receipts you need for expenses or IFTA-style reporting first — you can still do this during the recovery window by signing back in.
- Scheduled or queued appointments are cancelled as soon as the account is deactivated — not at the end of the recovery window.
- Active subscriptions or wash plans are cancelled going forward; refunds follow our standard terms and are not automatic.
- Subscriptions purchased through the App Store or Google Play must also be cancelled in that store — deleting your Wash42 account does not cancel store billing.
- You can sign up again later, but the new account starts empty.
8. Third parties
Wash42 relies on service providers for hosting, payments, messaging, crash reporting, and analytics. When we act on a deletion request, we issue deletion instructions to each provider holding your data under our contracts with them, and their own deletion cycles complete within 30 days of that instruction. We do not sell personal data, and we do not share it with data brokers.
Wash sites operated by independent partners may hold their own records of a wash performed on your vehicle — a camera recording or a paper ticket, for example. Those records are outside our systems; contact the site operator directly, and we will help you identify them.
9. Your rights elsewhere in this policy
Depending on where you live, you may have additional rights — to access a copy of your data, correct it, restrict its use, or object to processing. Residents of California and other U.S. states with comprehensive privacy laws, and users in the EEA and UK, can exercise those rights at the same address: privacy@wash42.com. We do not charge for a request, and we do not discriminate against you for making one. If you are unhappy with how we handled a request, you can escalate to your state attorney general or supervisory authority.
This page describes deletion specifically. Our full Privacy Policy covers what we collect and why.
